How to apply for VIA Exchange, Step-by-step guide 

• 1. Nomination

  There are a few things you need to check and prepare before filling in the online application form:.

  Per definition, taking an exchange semester requires that your home institution has an exchange (inter-institutional) agreement with VIA within the department in question. You can typically find out which partners your institution has by asking the international office. The international office at your home institution must nominate you for an exchange at VIA, providing you fulfil the requirements. VIA needs to receive this nomination, before you can apply to become an exchange student and before we can process your application. Once we have your nomination, we will send you a link for our application platform MoveOn.

• 2. Prepare documents

  Once you have been nominated, please prepare the following documents, as you need them to complete the application process:

  • Copy of an identity document (mandatory)
  • Identity photo (mandatory)
  • Academic transcript of records (mandatory)
  • Motivational letter (mandatory)
  • Learning agreement (if ready at time of application) 
  • Proof of language proficiency (if applicable)

• 3. Register

  Once we have received your nomination, we will send you a link to our application platform, MoveOn. You must register before you can access the application platform.

• 4. Fill in the application form in MoveOn

  Go to the application form in MoveOn

  Make sure to use Google Chrome or Firefox browsers.

  Fill in the form:

  • Personal information
  • Emergency contact
  • Current studies and requested stay
  • Language skills
  • Further information

  Upload relevant documents and submit the application. You can save your progress and return to the unsubmitted application at any time.

• 5. Assessment and acceptance of application

  Once your application has been sent, VIA will process and confirm the approval of your application. You can see your submitted application at any time by logging into the application portal. Here your submitted application is saved as a pdf file.

  You will receive official acceptance/rejection via e-mail 3-6 weeks after the application deadline.
