Nomination process
1. Make sure you have an exchange agreement with VIA
In order to nominate students for an exchange programme at VIA, your institution must have an exchange agreement with VIA – either an institution-wide partnership agreement or a partnership with the study programme that you are nominating for. In other words, it is not possible to nominate a student for VIA’s nursing exchange programme if your partnership agreement only applies to the Global Business Engineering programme.
2. Nomination link
VIA accepts exchange students in either the autumn or spring semester and nomination link in Survey Xact is sent to our partners in our mobility newsletter in August and February. If you are not on our mailing list or have not received the newsletter, please contact us at incoming@via.dk.
3. Enter your nomination
Enter an individual nomination for every student you would like to nominate, including student name, email address, programme, student's current programme at home institution
4. Application
Once you have nominated a student, she/he will receive information about the application process and a direct link for application in our mobility portal MoveOn in an e-mail from our international office, Global Engagement. “We encourage you to ensure that the student has received the automatic reply regarding nomination. We often experience that this ends up in the spamfilter. Find information on application for students here.
5. Deadlines
The deadlines for nomination are 15 April for the autumn semester and 15 October for the spring semester. Applications must be received before 1 May/1 November. NB! Some exchange programmes have other deadlines, so please make sure to check the webpage for the programme you are nominating for.
6. After the application
Applications are processed as they come in and students can expect to hear from us within approximately 14 days after the application deadline. Once the application has been approved, the student will receive more information about accommodation, arrival, orientation etc.
7. Learning agreement
Please assist the student with filling in the learning agreement in EWP (Erasmus Without Papers Network) with the correct details. The course elements can be found on the programme website and the start/end date can be found in the acceptance letter. NB! It is important that day, month and year is noted on the learning agreement.
